Wedding Flower Budget: What to Include When Buying Artificial Stems
FSARCAN Team ·

What belongs in a wedding flower budget? If you are buying artificial stems for an event, count the quoted flower units, shipping and import costs, local design and installation, vessels and supports, and any replacement or storage costs. A low price per stem is not a low finished-event price unless the comparison includes the same work and the same delivery scope.
For context, The Knot reports that US couples spent an average of $2,800 on wedding flowers in its Real Weddings Study, as reported in May 2026. That is a broad consumer-spending benchmark covering wedding floral pieces, not a wholesale artificial-stem price or an FSARCAN quote. A local florist's finished service and a shipment of loose stems from China are different purchases. Use the benchmark to frame questions, not to infer what your project will cost.
Separate the flower quote from the event budget
Start with the finished design you need, then assign every cost to the party that will actually supply it. The table below is a scope checklist, not a price list.
| Budget line | What to specify | Who needs to quote it |
|---|---|---|
| Artificial flower products | Exact reference, colour, complete selling unit and quantity for each arrangement type. | FSARCAN or another stem supplier. |
| Samples and packing | Whether a sample is available, what it costs, how bulk pieces are packed and how they arrive. | Supplier; confirm the terms in writing. |
| Freight and import | Destination, delivery basis, freight charge and who handles duties, taxes and clearance. | Supplier, freight provider and importer, according to the agreed terms. |
| Design materials | Vases, mechanics, frames, ribbon, wrapping and other items needed to make the stems into the intended displays. | Your florist, designer, rental provider or venue. |
| Local work | Assembly, transport to the venue, installation, removal and any later storage. | Your local florist, installation team or venue. |
| Changes and replacements | Who pays if the design changes, a colour is rejected, or a piece is damaged. | Agree this before the final order; do not hide it inside a guessed percentage. |
FSARCAN's process is enquiry and written quotation, not self-service checkout. The website cannot calculate a final delivered cost for a wedding project. Send the destination and required date with the design brief so product and freight terms can be discussed together.
Define the areas before asking for prices
A guest count alone will not tell a supplier how many stems to quote. A wedding with flowers only at the ceremony and one with repeated table displays need different quantities even if the guest lists match. Make a short list of the areas that matter: personal flowers, ceremony, tables and any reception focal point. For each repeated piece, photograph or sketch one approved mockup and count complete product units, not visible flower heads.
Our bulk wedding flower planning guide covers the mockup and quantity method in detail. Use the centerpiece guide for repeated tables and the arch guide for a measured ceremony installation. Keep these quantities on separate quote lines; it makes a change to one area easier to price without rebuilding the entire budget.
Compare like-for-like offers, not headline prices
When you compare a local fresh-flower proposal with an artificial-stem supply quote, first ask what each one delivers. Does the fresh proposal include arrangement design, venue delivery, setup and removal? Does the artificial quote cover only loose stems, or also samples, packing and freight? If a local designer will build the artificial arrangements, add that separate proposal before you decide which option fits the budget.
Artificial flowers are not automatically cheaper than fresh ones. Reuse can matter to a venue or rental business, but only if the stems remain suitable, the next design can use them and storage and handling costs are included. Do not divide today's purchase price by an assumed number of future events. Approve the first project's total cost on its own; treat later reuse as a possible benefit, not a guaranteed discount.
Choose where to spend on the visible design
A practical way to control cost is to decide which areas must carry the floral impression in photos and which can stay simple. A large installation and a small table arrangement are not interchangeable, so ask the designer to price their actual shapes and viewing distances. Repeating one approved table design may also simplify the product list and make quote comparisons clearer, but check that it suits every table size and venue sightline.
Flower names and head counts are not sales-unit counts. FSARCAN's active catalogue includes the FA-001 five-bloom rose reference, the FA-030 two-bloom peony and the FA-043 orchid branch. Those labels describe different forms; they do not tell you how many separate pieces a quotation unit contains or how many pieces your design requires. Check the full stem and an approved mockup before deciding quantity.

If a preferred flower pushes the project beyond its target, send the image and say which details cannot change: colour family, head size, overall stem length, finish or silhouette. Mark what may vary. FSARCAN can discuss a similar reference, but a suggested alternative still needs its own specification, sample decision and quotation. The quote-request guide explains how to send a useful reference.
What to send for a budget-aware artificial-flower quote
Tell us whether your stated budget is for stem supply only or for the complete installed event. Include the venue country and city, the date the flowers must be on site, each arrangement type and count, reference images, preferred FSARCAN codes and colours, and the quantity of complete units in your approved mockups. Ask for product charges, samples, packing, freight basis and import responsibilities to be stated separately. If the budget ceiling is firm, say which areas or specifications can change and which cannot.
Contact FSARCAN with that scope to request a written quotation or ask us to look for a similar flower. Use the email or WhatsApp options on the contact page for reference images; the web form itself does not upload files. A clear scope lets you compare actual offers rather than treating a product-page number or a national wedding average as the final cost of your event.
